Administrative Assistant to the Chief Development Officer

The Administrative Assistant to the Chief Development Officer (CDO) leads administrative support and organizational coordination to the Chief Development Officer and the Resource Development department to meet the goals and mission of the Prostate Cancer Foundation. This position leads and supports special projects and initiatives as identified to fulfill the strategic and department plans. This position is responsible for providing daily real-time support for the CDO on internal and external meetings and follow-ups to keep the ‘office’ running smoothly. The Administrative Assistant to the Chief Development Officer takes a proactive approach in planning and prioritizing the CDO’s calendar by taking responsibility for assembling the agenda, location, digital meeting technology and all other meeting logistics. The Administrative Assistant to the Chief Development Officer is responsible for managing the list of CDO engagements, creating speech PowerPoints, and liaising with the communications team to ensure content and technology needs are understood and set in motion. The Administrative Assistant to the Chief Development Officer is responsible for coordinating travel arrangements for the CEO and managing expenses. The Administrative Assistant to the Chief Development Officer is responsible for leveraging the CDO’s time by acting as a proxy for communications and approvals, answering general questions, referring (filtering) routine matters to appropriate PCF leaders and following up to ensure proper disposition. The Administrative Assistant to the Chief Development Officer is responsible for improving office efficiency by proactively evaluating new digital tools and applications, and then teaching the CDO, staff and senior management to use these tools.


Key Duties of the Administrative Assistant to the Chief Development Officer will include but are not limited to the following:

  • Assists the CDO with daily administrative duties and completes a broad variety of administrative tasks that includes managing an active calendar of appointments, completing expense reports, updating databases, creating itineraries, creating agendas and meeting minutes, and compiling documents for meetings
  • Conserves the CDO’s time by reading, communicating with internal staff, researching, and routing correspondence, writing letters and documents, collecting and analyzing information, and initiating communications
  • Prepare meeting briefing documents by taking and disseminating notes
  • Attend meetings at wrap-up stage for next steps, formulate post-meeting action items and enter into project management database
  • Drafts reports, letters of solicitation, proposals and prepares and coordinates oral and written communication with donors and prospects
  • Serves as a contact and delivers exemplary customer service to external donors, board members and other stakeholders
  • Leads donor recognition projects and initiatives for the Development department including oversight of a thank you process to corporate and individual donors
  • Responsible for entering donor data information where applicable and ensures data standards and accuracy are met
  • Assists in coordinating the Development department and management team meetings and coordinates other project teams and cross functional team meetings and materials
  • Create domestic and international travel packs (i.e., event information, itineraries/logistics of travel) and follow-up
  • Managing and completely the CDO’s expense reports accurately in timely fashion
  • Provide PowerPoint, Word, Excel, Raiser’s Edge-based software analytical support to assist CDO on special projects
  • Researches issues, analyzes problems, compiles data and prepare short, 1-page bulleted reports for CDO with supporting materials in PowerPoint to prepare CEO for meetings
  • Provide prospect research for CDO, CEO, and Chairman of Board
  • Compose correspondence, proofread, edit

  • High fluency with Microsoft OS and Office Suite (Outlook, Word, Excel, PowerPoint)
  • Experience with CRM systems, specifically Raiser’s Edge NXT
