Administrative Coordinator

The administrative coordinator role is an exciting opportunity that offers the chance to assist in the daily operations of a non-profit foundation. This role is crucial to ensure foundation office operations runs smoothly. The administrative coordinator will need to be able to multi-task and have strong verbal and written communications skills. The ideal candidate is a self-starter and a hard worker with an innate ability to handle tasks and complete projects with minimal direct supervision.

Full-time / Non-exempt
Reports to: Assistant Manager, Administration

Key Duties of the Administrative Coordinator will include but are not limited to the following:

  • Support mission-critical initiatives
  • Special project support as requested
  • Assist other staff across the organization with overflow work, including word processing, data entry, and internet research projects and tasks
  • Maintain a working knowledge of the PCF mission and programs to promote the field and campaign fundraising
  • Provide support and promote the Many vs. Cancer initiative
  • Calendar management (Microsoft Outlook)
  • Schedule meetings and conference rooms
  • Set-up & clean conference room for meetings
  • Answer phones, check voicemail, take messages and forward to appropriate staff
  • Check the main info@pcf.org email account and answer or forward messages as appropriate
  • Process incoming checks: copying database entry, reconciliation, etc.
  • Board book preparation support
  • Assist the Foundation’s golf and sports programs when needed
  • Coordinate a wide range of office administrative and operational functions
  • Provide client and donor callers with resource information/location

 

Key Duties of the Director will include, but are not limited to the following:

  • Order office and kitchen supplies
  • Greet visitors to the Foundation
  • Maintain office supply room inventory (e.g. paper in copier)
  • Regularly monitor kitchen supplies, especially food and beverages
  • Maintain cleanliness in lunchroom/kitchen and conference room
  • Sort and distribute incoming mail
  • Log and send out Federal Express and USPS packages/envelopes
  • Respond to direct mail suppression requests
  • Maintain knowledge of current postal regulations and services frequently used by the Foundation
  • Process requests for printed materials (PCF guides and info sheets) in online database (in- house mailing of special materials requests)
  • Projects and other duties as assigned

 

Requirements

  • Bachelor’s degree
  • Excellent telephone skills and proficiency in English
  • Excellent communication skills
  • Ability to prioritize and multi-task
  • Resourceful research skills (i.e., online research)
  • Courteous and patient with callers
  • Willingness to work as a team player
  • Must be computer literate in MS Office (preferably version 2013 or higher)
  • Must be able to lift 25
  • Minimum 3 years office experience is required
